Position Title: Travel Coordinator
Overview:
The Travel Coordinator is responsible for coordinating all travel details of a provider’s assignment from inception to conclusion, including but not limited to: preparing correspondence, coordinating travel and lodging, reconciliation of the corporate credit card, and obtaining and logging weekly invoices for submission to accounting.
Responsibilities:
- Coordinate all of the travel logistics of the provider’s assignment, communicating regularly with the marketer, recruiter, accounting, and members of risk management
- Coordinate all applicable travel for assignment including but not limited to: flights, rental car, shuttle, taxi, and driving directions
- Arrange all necessary lodging for the assignment including but not limited to: hotel or apartments, arranging necessary utilities, or assisting the client in coordinating lodging
- Prepare and send travel packets to providers
- Contact vendors to obtain invoicing back up to submit to accounting for weekly billings
- Maintain and update the invoice tracking spreadsheet
- Maintain and update the main travel tracking spreadsheet
- Code all charges on the corporate credit card and submit to accounting for entry
- Complete special projects and other functions as required
- Provide back up to risk management team members as needed
- Contact providers, clients, outside vendors, as well as our internal travel and accounting departments
Requirements:

- Knowledge and/or experience in Microsoft Word and Outlook are preferred
